SolaFlow Dashboard - User Guide
Getting Started
Logging In
- Navigate to your SolaFlow dashboard URL
- Enter your email address and password
- Click “Sign In”
- You’ll be taken straight to your Overview & Configuration page
Your Dashboard at a Glance
Your SolaFlow dashboard gives you full control over how your solar estimator looks and works for your customers. From here you can:
- Set your company branding and pricing
- Choose which products to offer
- Customise add-on extras
- Personalise your quote PDFs
- Review a history of all changes
Navigation
Use the sidebar menu on the left to move between sections:
- Overview & Config — Your company settings and pricing
- Product Pricing — Choose and price your products
- Extras — Manage add-on products
- PDF Settings — Customise your quote documents
- Activity History — See a log of all changes
On mobile, tap the menu icon in the top corner to open the sidebar.
Your Profile
At the bottom of the sidebar you’ll see:
- Your name and initials
- Your company name
- Click “Log out” to sign out
Overview & Configuration
This is your main settings page — it’s also the first page you see when you log in.
Company Profile
- Your Company Name and Domain are shown at the top (these are set by your platform administrator — contact them if changes are needed)
- Update your brand colours:
- Click the colour picker or type in a hex code (e.g., #FF5500)
- Primary Colour: Used for buttons and highlights in your estimator
- Secondary Colour: Used for backgrounds and product highlights
- Changes preview in real-time so you can see how they look
Setting Your Pricing
You have two pricing methods to choose from:
Flat Rate (Per kWp)
- Select “Flat rate (per kWp)”
- Set your:
- Rate per kWp: Your price per kilowatt-peak (e.g., £1,200)
- Scaffolding Cost: A fixed charge added to every installation (e.g., £500)
- This applies a single rate regardless of system size
Tiered Pricing
Tiered pricing lets you offer different rates depending on the size of the system — great for encouraging larger installations.
- Select “Tiered pricing”
- Click “Add Tier” to create pricing brackets
- For each tier, set:
- Up to (kWp): The maximum system size this rate applies to
- Rate (£/kWp): The price per kWp for this bracket
- Key things to know:
- One tier must always be unlimited (shown as “X+ kWp”) to cover the largest systems
- Tiers auto-sort in ascending order
- You can delete unwanted tiers with the trash icon
- Set your Scaffolding Cost separately
- Click “Save Pricing”
A visual pricing graph is shown for tiered pricing so you can easily see how your rates change with system size.
Roof Type Surcharges
Add extra charges per panel for certain roof types. These are applied automatically in your estimator when a customer selects the relevant roof type.
- Scroll to the “Roof Type Surcharges” section
- Set your per-panel surcharge for:
- Slate Roofs: e.g., £50 per panel
- Flat Roofs: e.g., £30 per panel
- Click “Save Changes”
Embedding the Estimator on Your Website
At the bottom of the page you’ll find an embed code (an iframe snippet). Simply copy and paste this into your website’s HTML, or drop it into a HTML widget using your website’s page editor, and the solar estimator will appear on your site using your branding and pricing automatically.
Product Selection
Choose which solar panels and batteries your customers can see in the estimator.
Accessing Products
Navigate to Product Pricing from the sidebar.
Solar Panels
- Switch to the “Solar Panels” tab
- You’ll see all available panel products
- Toggle the enable switch next to each panel you want to offer
- Panel pricing is driven by the per-kWp rate you set in Overview & Configuration
- Only your enabled panels will appear in the estimator for your customers
Batteries
- Switch to the “Batteries” tab
- Toggle the enable switch for the batteries you want to offer
Setting Battery Pricing
- For each enabled battery, click “Edit Pricing”
- Set:
- Unit Price: Your selling price for this battery (e.g., £5,000)
- Multi-Battery Discount (optional):
- Toggle to enable
- Set the discount amount for the 2nd, 3rd, and subsequent batteries
- For example: £500 off each additional battery
- Click “Save”
How Multi-Battery Discounts Work
- The first battery is always charged at full price
- Each additional battery is charged at full price minus your discount
- This encourages customers to add more storage capacity
- A green badge appears next to products with a discount set
Searching Products
Use the search bar at the top to quickly find products by name or SKU. The search works across both tabs.
Extras Management
Extras are optional add-on products you can offer to your customers, such as bird protection, EV charger points, or extended warranties.
Viewing Your Extras
Navigate to Extras from the sidebar. You’ll see all available extras with:
- The default price
- Your custom price (if you’ve set one)
- The pricing model (Per Panel, Per System, or Per Battery)
- Whether it’s currently enabled
Enabling an Extra
Toggle the enable switch next to any extra you want to offer. Enabled extras will appear in your estimator.
Setting Custom Pricing
- Click “Edit” next to an extra
- Change:
- Your Price: Set your own price, overriding the default
- Pricing Model: Change how the extra is charged (per panel, per system, or per battery)
- Click “Save”
- A “Custom” badge will appear next to extras where you’ve set your own pricing
Reverting to Default Pricing
To go back to the default price, simply edit the extra and change the price back to the original value.
PDF Settings
Customise the look and content of the quote PDFs that are generated for your customers.
Accessing PDF Settings
Navigate to PDF Settings from the sidebar.
Text Customisation
You can personalise four text areas on your quotes:
- Header Message (max 150 characters)
- Appears at the top of the quote
- Example: “Thank you for choosing SolarCo for your installation”
- Call-to-Action Text (max 200 characters)
- Encourages the customer to take the next step
- Example: “Contact us today on 0800 123 456 to get started”
- Warranty Statement (max 300 characters)
- Your warranty or guarantee information
- Example: “All installations come with a 10-year workmanship warranty”
- Additional Disclaimer (max 500 characters)
- Fine print or terms and conditions
- Example: “Final pricing is subject to site survey and may vary”
Trust Badges
Trust badges are certification logos (e.g., MCS Certified, TrustMark, RECC) that appear on your quote PDFs to build customer confidence.
Enabling Badges
- You can enable up to 5 badges at a time
- Toggle the switch next to each badge you want to display
- When you’ve reached the limit of 5, the remaining badges will be greyed out
- A counter shows how many you’ve enabled (e.g., “3/5 enabled”)
Reordering Badges
- Click and hold the grip icon next to a badge
- Drag it to your preferred position
- Release to drop it in place
- The order here determines the order they appear on your PDFs
Saving
Click “Save Changes” to apply your PDF settings. Changes will take effect on all future quotes.
Activity History
Keep track of every change made to your account — whether by you, your team, or a platform administrator.
Accessing Activity History
Navigate to Activity History from the sidebar.
Understanding the Log
Each entry shows:
- Timestamp: When the change happened
- User: Who made the change (your team members are shown by name; platform administrator actions are labelled “Superadmin”)
- Action: The type of change, shown as a colour-coded label (e.g., Settings Changed, Product Enabled)
- Details: A description of exactly what was changed
Filtering Your History
- Click the “Filters” button
- You can filter by:
- Action Type: Only show certain types of changes (e.g., product updates, settings changes)
- Date Range: Set a start and end date to narrow results
- Click “Apply” to update the list
- Active filters are shown with a badge indicator
- Click the X button to clear all filters
Sorting & Pagination
- Click the Timestamp or Action column headers to sort
- Choose how many items to show per page (10, 20, or 50)
- Use the arrow buttons at the bottom to move between pages
Tips & Best Practices
Branding
- Use your company’s official brand colours for a consistent, professional look across your estimator and quotes
- Make sure any colours you choose have good contrast for readability
Pricing Strategy
- Consider using tiered pricing to incentivise larger system sizes — customers see better value as they go bigger
- Set multi-battery discounts to encourage customers to add extra storage
- Review your pricing regularly to stay competitive
Product Selection
- Only enable products you actively stock and install — this keeps your estimator clean and accurate for customers
- Use the search bar to quickly find specific products
Quote PDFs
- Keep your text concise and professional
- Make sure your call-to-action includes clear contact details
- Enable your most relevant trust badges (up to 5) to build customer confidence
Regular Housekeeping
- Check your Activity History monthly to stay on top of any changes
- Review your product selection whenever new products become available
- Update your pricing as your costs change
Data Validation Reminders
- Pricing values must be positive numbers
- Hex colour codes must start with # (e.g., #1A2B3C)
- Character limits are enforced on all text fields — you’ll see a warning if you exceed them
Troubleshooting
Changes Not Saving
- Make sure you clicked the “Save Changes” button — changes aren’t saved automatically
- Check for any validation error messages highlighted on the page
- Verify your internet connection is working
Products Not Showing in the Estimator
- Check that the product is enabled on your Product Pricing page
- If a product you expect to see isn’t listed at all, it may not have been released yet — contact your platform administrator
Can’t Enable More Trust Badges
- You can only have 5 badges enabled at once
- Disable one you don’t need before enabling a new one
Tiered Pricing Errors
- Make sure at least one tier is set to unlimited (no maximum kWp)
- Check that tiers don’t overlap
- All rate values must be positive numbers
Need to Change Company Name or Domain
- These are managed by your platform administrator — get in touch with them to request changes
